Arts & Crafts Vendor Fair

We are seeking a variety of vendors for the Arts & Crafts Vendor Fair that will be part of the Zombie 5K Survival Run/Walk Survival Challenge and the Autumn Fun Fest on October 24, 2026. The Arts & Crafts Vendor Fair is intended to showcase artists, makers, crafterss, and small creative businesses. Priority will be given to handmade, artist-designed, locally created, independently produced or small-batch goods.

We are also seeking food vendors, especially those who can provide festival-type foods and seasonal favs. There is a restaurant, Cornerstone, on site and we will be partnering with them on some food selection if possible. It’s doubtful that they’ll be fully operational by that date. We are open to considering food trucks, baked goods/sweets/candy, snack shacks, or other food items. We are very interested in having funnel cakes, cotton candy, kettle cooked corn, corn dogs, chicken fingers, and hot beverages (seasonal drinks, cocoa, tea, coffee) and cold beverages (slushies, shakes, icees).

We're excited to welcome local artists, makers, crafters, food creators, food truck operators, bakers, and cooks to the Autumn Fun Fest! There is no vendor fee for approved and confirmed vendors. Please make sure you read the application information, the guidelines for the event, and other important information. Because this is a family-oriented community event, participation is curated and all vendors must be approved in advance. Please apply as soon as possible. Space is limited.

If you have a great day of sales, please consider making a donation to the Jessamine County Care & Control using the DONATE QR Code at the Autumn Fun Fest. We’ll be writing one check to our charity partner and will make sure that your company name/name is noted as a direct donator unless you ask us not to share that. You’d also be listed on our post-event “Thanks for Donating During our Event Benefiting To The Jessamine County Animal Care & Control” social media posts. Just let us know if you prefer for your name to be anonymous. If we can thank you for donating, should we use your company name, first/last name, or something else?

Items/Businesses That Will Not Be Approved

The following are not appropriate for this event:

• Firearms, ammunition, knives intended as weapons, weapons, or realistic weapon sales

• Adult-oriented merchandise

• Material unsuitable for a family event

• Counterfeit, pirated, or unauthorized merchandise

• Multi-level marketing/direct-sales businesses

• Primarily service-based businesses or booths intended mainly to solicit appointments, memberships, or future service sales

• Merchandise or activity that is illegal, unsafe, or inconsistent with the family/community nature of the event

Applications consisting primarily of mass-produced resale merchandise, imported or wholesale novelty items, drop-shipped products, or merchandise purchased primarily for resale will not be accepted. A small amount of complementary commercially manufactured merchandise may be approved at the organizers' discretion when it supports an otherwise qualifying handmade/artist-created booth.

Vendor Agreement & Rules

Arrival & Setup:

• Vendor arrival and check-in will take place between 1:00 and 1:30 PM.

• Vendors will be permitted to drive near their assigned booth area for unloading.

• Vehicles must then be moved to designated vendor parking before the festival begins at 2:00 PM.

Festival Hours & Tear-Down

• Vendors are expected to remain set up for the scheduled event unless an event organizer approves an early departure because of illness, emergency, or unsafe weather.

• Vehicles may not re-enter pedestrian/vendor areas for loading until event organizers determine that it is safe to do so.

Vendor Responsibility:

• Booths should be fully set up and ready for guests before 2:00 PM with Vehicles moved to designated vendor parking before the festival begins.

• Each Vendor is responsible for removing all merchandise, displays, packaging, and trash from the booth area and leaving the space as it was found.

• Vendors are responsible for their entire booth setup, including tables, chairs, tents/canopies, displays, signage, and other needed equipment.

• Event organizers do not provide tables, chairs, or tents.

• Tents and canopies must be safely secured and weighted. Stakes may not be used unless specifically authorized.

• Vendors are responsible for their own merchandise, property, and transactions; any applicable tax collection/reporting; and any license, permit, or insurance legally required for their business.

• Vendors must keep booths and adjacent walkways safe and free from hazards.

• Electrical equipment, generators, open flames, or other special equipment may be used only with prior approval.

The Environment

• We want this to be a welcoming event for everyone. YOU should be treated with respect and feel like YOU are in a safe environment. If needed, please contact the police, or members of Event Staff. Call your Vendor Contact or Event Leadership Contact whose numbers are listed in your packet. They will check text as often as possible during the event and will answer calls as they are able to. Feel free to call either number before or after the event.

• Of course, we ask that your treat guests, volunteers, city personnel, and fellow vendors respectfully. Harassment, unsafe behavior, or repeated failure to follow event staff directions may result in removal from the event.

• Participation is not transferable to another vendor without approval. Another member or your shop may attend your table/booth instead of you, but you cannot give your “spot” away to a different vendor. Please know that if the other vendor is similar to you, we will review their information quickly and grant them approval. Just call or email us to avoid confusion of issues later on.

• Event organizers reserve the right to reject an application or require removal of merchandise that was not disclosed during the application process and does not meet these guidelines.

If you get the invitation after you submit this online application, email or call Elaine and let her know your name and invite code. (We invited vendors we met at Downtown Days and Waveland but there were many people we were unable to speak to. We encourage you to apply whether or not you have received a personal invitation.)
